Here’s the file that does, and the three rules for filling it in

You know the budget by now: five years of legal residence, and inside them no absence longer than six months, no more than ten months in total — or eighteen if the absences are for work reasons. You’ve probably also done the thing everyone does next, which is to scroll back through a calendar and a photo roll trying to remember whether that stretch in Denver was five weeks or seven.

That’s the problem this page solves, and it solves it with something almost insultingly simple: a table. The reason it needs a page of its own is that three things about the count are not obvious, and each one changes how you keep the table.

1. Three things about the count that change how you keep it

First: the law speaks in months; the count happens in days. Articles 183.2 and 176.a) say six months, ten months, eighteen months. Offices work from travel evidence and count in days, and there is more than one way to treat the day you leave and the day you come back. Across five years of frequent trips, that rounding is not trivial. The table below records dates out and in and lets you count both days — the conservative reading — so that whatever convention is applied, you’re on the right side of it.

Second: nobody is keeping this record for you. This is the one that surprises people. The EU’s new Entry/Exit System has been fully operational at Schengen borders since 10 April 2026 and replaces passport stamps with a digital record of entries and exits — for non-EU nationals on short stays. The regulation that created it says in its own article 2.3 that it does not apply to holders of residence permits or long-stay visas. You hold a residence permit. Inside Schengen there are no stamps and no border record for you anyway; and outside it, what you’ll have is whatever your passport got stamped with, which for a resident is often nothing at all. Spain’s police do issue a certificate of your recorded entries and exits, and it’s worth requesting in year four to check your own file against — but it can only show what was recorded, and for a frequent traveller inside Europe that’s a fraction of the truth. The record that exists is the one you keep.

Third: “for work reasons” is not defined anywhere. The eighteen-month tier is written in the regulation, in both articles, with no definition and no list of accepted evidence. That means the classification of each trip — and the proof that it was work — is yours to make and yours to show. A trip with no evidence of purpose will be read on the ordinary budget, not the work one. So the table has a column for the reason and a column for the single piece of evidence that proves it.

2. The log — copy this

One row per trip. Keep it in whatever you’ll still have in five years: a spreadsheet you back up, a note in your password manager, a page at the back of the file where your TIE renewals live.

#

Left Spain

Back in Spain

Days (both days counted)

Where

Reason: work / personal / force majeure

One piece of evidence

Notes

1

2026-03-02

2026-03-20

19

Denver

work — client on-site

client’s invoice for March / boarding passes

—

2

2026-07-24

2026-08-11

19

Toronto

personal — family

boarding passes

—

3

…

…

…

…

…

…

…

Under the table, three running totals — and this is the part most templates skip:

Days

Months (÷ 30)

Ceiling

Longest single absence

6 months — absolute, whatever the reason

Personal + force majeure absences, total

counts towards 10 months

Work absences, total

counts towards 18 months (all absences together)

How to read the totals. The six-consecutive-month ceiling applies to every absence, work or not. The ten-month total is the ordinary case. When absences are for work reasons, the total the regulation allows is eighteen months — with the same six-month ceiling per absence. We read the two tiers as one budget with a work-related extension, not as two separate allowances you can add together: if your personal trips alone reach ten months, don’t assume eight more months of work travel are automatically safe. Keep the personal total under ten, and the grand total under eighteen with the work portion documented, and you’re inside every reading of the article we’ve seen.

A worked example, in arithmetic only. Three five-week client projects and a two-month stretch at headquarters: roughly 165 days of work absence. Two summer trips home and a couple of long weekends: roughly 60 days personal. Total about 225 days, or seven and a half months. Personal alone: two months. Both totals are comfortably inside — if the 165 work days have their invoices and letters next to them. Without the evidence, the same 225 days read as seven and a half months on a ten-month budget, and one more project abroad puts you at the line.

3. The three rules for filling it in

Write the row the week you get back, not in year four. The dates are still in your phone; the boarding pass is still in your email. In four years neither will be.

One piece of evidence per trip, filed with the row. For work: the client’s invoice for that period, the employer’s letter, the conference badge. For personal: the boarding passes are enough. For force majeure — an illness, a death, a border closed — keep what a stranger would need to understand it; the regulation leaves that assessment to the office that decides, case by case.

Keep your expired passports and check the police certificate once, in year four. Not as the record — as the cross-check. Where your log and their record disagree, you want to know before they do.

And one rule for after year five. Once you hold long-term residence, the budget changes shape: the status is lost after twelve consecutive months outside the European Union — the EU, not Spain — and the EU version also after six years away from Spain (art. 201). There’s a recovery procedure if it happens (arts. 186-189), but it’s a procedure, not a plan. Keep the same table; just change the ceilings row.

4. What we could not verify, and what we’re sure of

Verified in the consolidated text: the six-month ceiling, the ten-month and eighteen-month totals, the force majeure clause and who assesses it, the loss rules after long-term residence, and the existence of the recovery procedure. Verified in the EU regulation: that the Entry/Exit System does not apply to residence-permit holders.

Not verified, and therefore not asserted: exactly how a given office counts the departure and return days (we count both, so it doesn’t matter); what evidence a given office accepts as proof of work reasons (we keep the strongest one available); and the fee and turnaround of the police movements certificate, which we haven’t checked against the official page today.

Where this leaves you

You’re inside a budget that has already started, that nobody else is counting, and that turns on a distinction — work or not — that only you can document. The table above is the entire solution, and the first row takes four minutes.

If you’re anywhere in years one to four: copy the table, fill in every trip you can still reconstruct, and start writing the rest as they happen.

If you’ve done the sums and you’re close, or you can’t reconstruct a year: send us the log as it is.
