You’ve already found the right person: they’re on your team. But transferring them from outside the EU to your office in Spain involves paperwork, deadlines, and questions that no one on your team has time to deal with.

Every week of delay is a week your project has to wait. And choosing the wrong path can cost you months—or result in a rejection that jeopardizes the entire integration process.

Relocating your people, the fast way

Spain has a fast track for multinational companies that relocate their own employees. There are several options, and the differences matter:

  • The national fast track. Relocate your executive, specialist, or trainee with a streamlined permit processed through the Large Enterprises Unit—with a decision issued in about twenty days and deemed approval in the absence of a response—valid for up to three years and including their family on the same application.
  • European mobility. If your employee already has a posting permit in another EU country, they can use it to relocate to your office in Spain.
  • Multiple transfers at once. If you move a group, we’ll set up a collective, repeatable process so your HR team doesn’t have to start from scratch every time.

You can start the process from your home country, with a visa, or from Spain, depending on your situation. We’ll review your relocation and let you know which option is best for you.

What’s required

  • Genuine business activity of the company and, where applicable, the group.
  • Higher qualification equivalent to at least MECES level 1 or 3 years of comparable experience.
  • A prior, continuous employment or professional relationship of 3 months with one or more companies in the group.
  • Company documentation evidencing the transfer.

Who from my team can I bring?

Three profiles: managers (who run the company, a department or a subdivision), specialists (with specialised knowledge of your activities, techniques or management) and trainees (university graduates coming to train in your methods, with pay).

How long can they stay in Spain?

It depends on the type. If the transfer comes from outside the European Union to an entity in your same group here, the maximum is 3 years for managers and specialists, and 1 year for training. For other cases —or once that maximum runs out— there’s the national type, valid for 3 years or the length of the transfer.

Do they have to have been with us for a while?

Yes, and it’s the requirement that sinks the most applications: you need a prior, continuous employment or professional relationship of 3 months with one or more companies in the group. Hiring and transferring straight away doesn’t work.

We move people several times a year. Is there a faster route?

Yes, and it’s the part almost nobody uses. Companies and groups can request collective processing: a planned quota of authorisations is managed instead of going case by case. To do this the company registers with the authority, a registration valid for 3 years, renewable. The real advantage: registered companies are exempt from evidencing on each application the genuine activity, the qualification and the prior 3-month relationship. They’re checked ex officio, so the documentation must be kept.

Is there anything that would leave us out of that fast route?

Yes: having been penalised for a serious or very serious immigration offence in the previous 3 years, or having failed to evidence the requirements in an ex officio check.

How long does it take?

The maximum decision time is 20 days from online filing, and if there’s no decision in time the authorisation is deemed granted. Filing also extends the person’s status until the decision. If it lasts more than six months, the physical card is then processed.

Will they be able to move to another EU country later?

If they go by the from-outside-the-EU type, yes: it allows entry, residence and work in other Member States, by notification or by applying there under their rules. And the other way round: an entity from another Member State can post staff to Spain after notification, with 20 days for the authority to object on justified grounds.

And their family?

They come with the transferred person: spouse or partner, children (minors or dependent adults) and dependent parents, together or later. If filed together, it’s decided together.

What if the transfer conditions change?

You must notify it within 30 days. Otherwise the company loses its registration —and with it the fast route—.

Do you move more than two or three people a year? Then the question isn’t how to process the next transfer: it’s whether registering and no longer evidencing the same thing over and over pays off for you. It’s decided with your numbers, not a general rule.
